Connecticut Event Transportation: Pickups, Stops and Returns

Navigating Special Event Transportation: Logistics, Fleet Choices, and Planning Strategies

A birthday dinner, baby shower or company celebration can involve several journeys, even when everyone is attending the same event. Guests may leave from different Connecticut homes, arrive through an airport or need an earlier return. Start with who is traveling together and the addresses for each journey, then choose the vehicle and request a quote.

Use the event itinerary planner to organize your outbound and return details. Royce serves Connecticut from its Stamford base; check the service-area guide and provide every pickup and destination when asking about availability.

Birthday parties, baby showers and family celebrations

For a baby shower at a private home in New Canaan or a birthday dinner in Greenwich, give the full address and usable entrance rather than only the event name. Include driveway instructions, passengers joining at each stop, gifts, strollers and other bulky items. These details affect which vehicle fits the journey.

Keep the guest of honor’s schedule separate from other guests if they arrive early or leave at a different time. If children are traveling, provide their seating requirements and ask Royce about child-seat arrangements and charges before confirming. For local planning, see our New Canaan guide and Greenwich transportation guide.

Corporate dinners and holiday parties

A Stamford office pickup followed by a Westport dinner and several home returns is a multi-stop itinerary. Give the office entrance, restaurant address, guest count and the order of the return stops. If a separate group leaves from a hotel, prepare a second journey instead of assuming one vehicle can collect both groups at the same time.

For corporate events, designate an organizer who can confirm the passenger list and approve changes. For Christmas parties and New Year’s Eve, specify the actual return date as well as the time: a 12:30 a.m. pickup after a December 31 celebration falls on January 1. Availability and event pricing require confirmation.

Concerts, proms and evening returns

For a concert or other ticketed event, share the venue’s current passenger pickup instructions with Royce and agree on a meeting point. The entrance used on arrival may not be available when the crowd leaves. Tell the team whether passengers expect to leave together or in separate groups; do not rely on an estimated finish time as a confirmed pickup arrangement.

For prom transportation, the adult booking contact should confirm the passenger list, photo stops, venue address and each return destination. For weddings, plan the couple’s journey, wedding-party transport and guest transfers separately when their schedules differ.

Choose the vehicle for people and belongings

A standard sedan accommodates up to 3 passengers and 3 bags, and a standard SUV up to 6 passengers and 6 bags. Royce also lists luxury sedans for 3 passengers, luxury SUVs for 6, stretch limousines for 9, Sprinters for 14 and buses in 24-, 36- and 56-passenger sizes. Confirm the exact vehicle, luggage fit and availability in the fleet discussion. Passenger capacity alone does not establish how much gift, equipment or suitcase space is available.

If your group needs repeated hotel-to-venue trips, list the number of guests, first arrival deadline and final return time. Ask Royce to confirm vehicle access and the schedule before promising guests a particular shuttle frequency. For a vehicle needed between stops, discuss hourly service, the minimum duration and waiting terms.

What to include in an event quote request

Send one clear plan: event date; organizer’s contact details; passenger count; full pickup and destination addresses; required arrival time; return date and time; additional stops; luggage or equipment; and any child-seat or accessibility requirements. Ask the team to confirm which requests can be accommodated and the final arrangements.

Ask for the event-specific total and clarify waiting, additional stops, parking, venue access and changes to the itinerary. Published airport flat rates are for the listed airport journeys, not wedding or party packages. Visiting guests who also need airport service should provide their flight details as a separate transfer.

Start with the event itinerary planner, request a quote or call (203) 344-5151. An enquiry helps Royce review availability and the itinerary; it is not a confirmed reservation.
