A group airport journey is easier to arrange when every traveler is accounted for. Colleagues attending a Stamford meeting, relatives visiting Connecticut or guests joining an event may arrive on different flights and leave at different times. One headcount and a destination are not enough to plan all of those journeys.
Use this guide to organize the details before requesting group transportation in Stamford and nearby Connecticut towns. Royce serves JFK, LGA, EWR, HPN and BDL; vehicle availability and each pickup arrangement need confirmation before travel.
Build a separate trip entry for each arriving party
Start with the people traveling together on the same flight. For each party, record the flight number, local arrival date, airport, passenger count, luggage and destination. Include a traveler’s name and working phone number, plus the organizer’s contact details if someone else is arranging the ride.
Keep different flights in separate entries, even when everyone is staying at the same hotel. This makes it easier to identify who needs an update if one flight changes. For the details used to arrange an individual airport ride, see our airport car service information.
Discuss shared pickups before grouping flights together
Landing times alone do not establish that everyone will be ready together. Travelers may use different terminals or need different amounts of time for baggage collection and arrival procedures. Ask Royce whether a shared pickup is practical for the actual flights and group, or whether separate pickups would better fit the itinerary.
Agree on the meeting point and what happens if one party is delayed. Do not assume a vehicle can wait for every later flight or collect passengers from multiple terminals within the original arrangement. Airport pickups include one hour of free waiting after the flight’s landing time. For a proposed shared pickup involving several flights, ask how the waiting period and any additional charges would apply.
Match passenger lists and luggage to the vehicle plan
Provide the number of passengers and the size and number of bags for each traveling party. Mention strollers, bulky equipment, child-seat requests or assistance needs when requesting the quote. A passenger count alone does not confirm that everyone and their belongings will fit.
Review the Royce fleet with the team and confirm a suitable available arrangement. A group plan may require more than one vehicle or separate journeys. Confirm any essential vehicle features directly rather than relying on an assumed model, seating capacity or onboard amenity.
Give each traveling party clear pickup instructions
Choose one organizer to maintain the itinerary, and identify a reachable contact for each party. Share the confirmed meeting instructions with the people taking the ride. The organizer may be in a meeting or at another location when passengers need help finding their pickup.
For a hotel, office or event venue, identify the correct entrance and any access instructions. Confirm where vehicles may stop and allow time for the whole party to gather with their bags. Ask about the waiting terms for that pickup location; home pickups include 15 minutes of free waiting.
For travel between offices, hotels and an event venue, our corporate event transportation checklist covers venue access, event timing and organizer responsibilities.
Plan the return journeys separately
Do not assume the return trip is the reverse of the arrival plan. Some guests may leave from a different address, use a different airport or travel on another day. Record the departure flight, requested pickup address and passenger list for each return journey.
Discuss the pickup time in light of airline check-in guidance, road traffic and the group’s boarding needs. Confirm any intermediate stops in advance, and arrange each return ride explicitly rather than treating it as automatically included with the arrival booking.
Review one clear itinerary before confirming
Before accepting the arrangements, check the following with Royce:
- Each party’s flight details, local travel date, pickup location and destination.
- Passenger names, contact numbers, headcount and luggage for each journey.
- The available vehicle plan, meeting instructions and organizer responsibilities.
- The quoted price, included waiting, extra stops and charges for changes or additional time.
- Separate return-trip confirmations and the applicable cancellation terms.
If a flight, passenger count or location changes, identify the affected journey when contacting the team and wait for the revised arrangement to be confirmed. Share that update with the relevant travelers.
