Corporate Event Transportation Checklist for Stamford

Group Transportation

A company meeting, client dinner or team outing may involve several journeys between an office, a hotel and an event venue. For group travel in Stamford and nearby Connecticut towns, a clear schedule helps Royce Limousine review the vehicles, pickup locations and time needed for each journey.

Use this checklist when requesting group transportation for your event. Confirm availability and the full itinerary before sharing final travel instructions with guests.

Build the schedule around the event, not just the drive

Start with the time attendees need to be inside the venue. Registration, security checks, gathering belongings and walking from the vehicle to the meeting room can all take time. Share the required arrival time with Royce and discuss a pickup schedule that also allows for traffic and boarding.

Give each journey its own entry. For example, an office-to-hotel trip, a hotel-to-dinner transfer and a return to the office are three separate movements, even if some guests take all three. Include these details for each:

  • Date, full pickup address and the entrance where passengers will gather.
  • Destination, event check-in time and required arrival time.
  • Passenger count, luggage or equipment, and any additional stops.
  • A reachable organizer and a contact at the venue.

Check vehicle access with the venue

Ask the venue which entrance and loading area the proposed vehicle may use. Share any height restrictions, access instructions, parking rules or restrictions on waiting. A street address alone may lead to the wrong entrance, particularly when guests and deliveries use different parts of a building.

If you want repeated trips between a hotel and the venue, describe the proposed departure times and passenger numbers to Royce. Ask what can be arranged; do not assume one vehicle can remain on site or cover overlapping departures within the original quote.

Match each passenger list to the vehicle

Count everyone taking each ride, including guests who will join later or leave early. Mention presentation equipment, overnight bags, bulky items and assistance needs before choosing a vehicle. Review the Royce fleet and confirm seating, storage and any essential features with the booking team. A seating count alone does not establish luggage space.

Give guests one clear departure plan

Name an organizer who will check the passenger list and keep the group together at the pickup point. Share the gathering time, departure time, exact entrance and a working contact number. Identify who will contact Royce if an attendee is missing or the event runs late, and ask how changes and additional waiting would be handled.

Confirm the return ride and the quote

Record the return pickup time and location separately. Guests may be returning to different hotels or leaving with another group. Confirm each destination and any early departure rather than assuming every attendee follows the same return plan.

Review the vehicle arrangement, total price, included time, additional stops, parking, tolls, gratuity and cancellation terms before reserving. Ask about waiting at offices, hotels and event venues. Compare quotes for the same itinerary and inclusions; a larger vehicle is not automatically the least expensive option for every group.

Keep airport journeys in a separate plan

If attendees fly in for the event, their airport arrangements need flight numbers, local landing dates and separate passenger contacts. Use our group airport transfer planning guide for shared pickups, different flights and return departures.

Request a corporate event transportation quote or call (203) 344-5151 with your schedule. A quote request is not a confirmed reservation; confirm the agreed itinerary and booking terms with Royce before travel.
